Important Points & Terms and Conditions

I want your child’s party to be a happy and joyous occasion, so I encourage you to read the following which are some very important points which will ensure that everyone will be happy, it will be a memorable party and you will receive your damage deposit back within 48 hours of the party!

 

Covid19 Policy (Updated September 2020):

1.     The Company agrees that in line with Government guidance business activities should only take place where we can establish social distancing, safe systems of work, and suitable protection measures for customers/staff and good disinfecting procedures for equipment. 

 

2.     Whilst The Company is setting up the sleepover, there must be nobody else present in the room and the room must be well ventilated.

 

3.     Teepee hire is only to be used in one room within the household and should not be moved between rooms after installation.

 

4.     In line with any restrictions at the time of the party, the Hirer is responsible in ensuring that a the appropriate number of guests are present at the social gathering and The Hirer is responsible for any breach of this law.

 

5.     Equipment will be thoroughly cleaned /disinfected before it can be rehired. 

 

6.     The client must notify The Company in advance of delivery if there are any members of the household who have tested positive for Covid 19 or are presenting with symptoms in the run up to hire or during hire. The Company will also notify the hirer if at any point any members of our household become unwell with any symptoms of covid 19 and reserve the right to cancel the hire if this situation arises. 

 

7.     If the sleepover has to be cancelled due to government restrictions, any payments will be refunded in full minus any costs already made by The Company for example for personalised items. Alternatively, the payment can be carried over to another date.

 

 

 

 

 

IMPORTANT POINTS:

-        Please ensure you have enough space for all tents prior to booking as refunds will not be given in the event that there is insufficient space.

-        I will always do my best to accommodate the tents, but I have to consider issues of health and safety to ensure there are clear entrances and exits from the room where the tents are erected should there be an emergency.

-        The tents must not be located next to any open flames such as candle, open fire, gas fire or any other source of flammable substance. All lights provided by me are battery operated and may be left on safely overnight for those who are nervous of the dark.

-        The tents are designed to be used by children 6 years and over and under adult supervision. I would actively discourage the use of the tents by a child under this age and I cannot be held responsible for any injuries to children under 6 years if they are allowed to play in them.

-        I would also politely ask that no pets are allowed access to the tents or other equipment. This is for the health and safety of all parties.

-        The hirer is responsible/liable for any damage or injury occurring from or as a result of inappropriate use of misuse or reckless use of any of the Company’s equipment.

-        The company will accept no liability or responsibility to the Hirer for any damages, costs, losses, claims, expenses, demands and proceedings including property of Hirer and their guests, or any consequential loss in these regards. 

-        While you are in possession of the hire equipment I ask for a holding deposit of £100.00. The deposit is refundable once the equipment has been collected undamaged and fully tested (normally within 48 hours).

 

 

 

 

 

 

 

 

 

 

 

Terms & Conditions

 

Definitions

 

The Company: The Official Kids Party

The Hirer: the person signing the booking form for ‘Hire of equipment’

The Deposit: a payment of the agreed fee as set out in the booking invoice.

The Event: the function as described in the Booking Form.

 

 Supervision: 

8.    The Hirer is responsible for the care and safety of all the children and should ensure that all parent/guardians are aware that the Company is not responsible for the care and safety of the children. 

9.    The Hirer will be required to take responsibility for all children that have been left by their parent/guardian. 

10. We would recommend that the Hirer of the party take contact telephone numbers of the children attending if their parent/guardian is not staying at the same time as clarifying any medical/allergic conditions at least 14 days in advance of the event. 

11. Whilst we love our furry friends we ask in the interest of health and hygiene that domestic pets are not allowed access to the hire equipment. Any additional cleaning as a result of access to the equipment by pets may result in an additional charge.

12. The Company has Public Liability Insurance.

13. It is the Hirers responsibility to ensure that the children are supervised at all times. The company will charge the hirer for the costs of any damage to any property caused by your breach of this clause. 

14. It is the Hirers responsibilities to ensure the children comply with all reasonable instructions from the company to ensure the safety of the attendees and other persons present. The company may suspend the event if you are in breach of this clause. 

15. The company shall use all reasonable endeavours to provide the services in accordance with the contract and shall perform the services with reasonable skill, care and diligence and in accordance with all health and safety regulations in force at this time. 

16. The company shall process all data in accordance with the Data Protection Act 1998. 

17. The company may use products that contain traces of nuts or may have been made in a factory that handles nuts. Please carefully check all ingredients before use/application. 

18. If the Hirer has requested any makeovers, tattoos or face painting as part of the Event, it is their responsibility to let the Company know if a parent would rather their child does not have this done/the child is allergic. The Company will not be liable for any allergic reaction caused to any guest however or whenever caused if we have not been notified in writing of the allergy prior to the Event.

19. Our entertainment not suitable for children four years and under. If present, they must be accompanied by a parent or guardian at all times. The Company will not be liable for any repercussions.

20. The Company may give out sweets during the party. If a child has an allergy, intolerance or is not allowed sweets, it is the Hirer’s responsibility to let the Company know in writing before the Event starts. The Company will not be liable for any repercussions.

21. It is not always possible that Miriam can host your Event. In this instance, the Company have the authority to choose another fantastic party leader to host your Event.

22. The Company will be taking photos and videos throughout the party for use on their website, social media and for other promotional material. If the Hirer objects to this, the Company must be informed in writing and all material will be taken down from the Internet as soon as is humanly possible.

 

Booking arrangements and payment

23. Party bookings and any other correspondence relating to the Event should be made via email to miriam@theofficialkidsparty.com  

24. The booking is only confirmed once the booking form is received and the deposit payment is received.

25. The deposit payment is required at the time of booking in order to secure the Event booking. If deposit is not received within five days from the date of the original notification, the booking shall be cancelled without further reference to the prospective Hirer.

26. The deposit is non-refundable.

27. While you are in possession of the hire equipment I also ask for a holding deposit of £100.00. The deposit is refundable once the equipment has been collected undamaged and fully tested (normally within 48 hours)

28. Final balance is to be paid by bank transfer to the Company account and must be received 24 hours prior to the event via online bank transfer. We have a no advance payment = no party policy.

29. If the Hirer wishes to change the date of the Event, we will do our best to accommodate this subject to availability.

30. On the day of the Event, if there are less children attending the Event than we confirmed 10 days before the Event, this does not entitle the Hirer to a reduction in the agreed price. However, if the number of guests on the day is more than that which we confirmed 10 days before the Event, the Company will make any necessary additional charges and invoice you for the outstanding payment after the Event.

31. Siblings are welcome but must be included in the number of children attending stated on the booking form if they are planning to join in on any party activities. Our Party Leaders are within their rights to charge for an extra child if this is the case and you will be obliged to pay.

32. The birthday child should be included in the number of children stated on the Booking Form.

 

Cancellation Terms

33. If the Event is cancelled by the Hirer between 14 and 7 days of the Event, they will be required to pay 50% of the balance.

34. If the Event is cancelled by the Hirer less than 7 days before the party, they will be required to pay 100% of the balance.

35. In the unlikely event that the Company has to cancel an Event then any costs already paid by the Hirer will be refunded in full and we will do our utmost to refer you on to another Company that we trust.

36. In the unlikely event that the Event does not take place due to illness or unforeseen circumstances on the day scheduled, the Company will allocate another reputable company to do the party as planned. If this is not possible, the Hirer will be refunded in full and will be offered £200 compensation.

37. If the party leader is asked to stay past the originally agreed end time, there will be an extra charge per hours or part thereof.
